I have always been informed that all records (paper & now electronic) must be kept for a minimum of seven years. We have multiple boxes of carrier, trip, & office documents I would love to have shredded. We are running out of storage space. Does anyone know if this rule has changed?
 
Scan it in and chuck the paper. 7 years is correct though.

1TB external HD is $9- tax in. Of course, we have a storage facility full of paper too, the bulk of it is beyond the 7 years so we'll have a mobile shred company swing by.

If you're buying external HDs, make sure you buy good quality ones that are designed for that length of storage. Ideally you would purchase a scanning system that would set up a filing system for you as well. Makes it a whole lot easier to find stuff when you have to look for it. If you're going to digitally store your paperwork then shred the paperwork, you will need to back up your digital files at least once, if not twice.
 
Funny you say that, absolutely look into the scanners owners manual to see if it can save the files the way you want (i.e. you can dynamically specify location, name, etc..), in the format you want, and that it doesn't create a lot of work for multiple pages.

Backup HD's - absolutely, my IT guy also advised to buy high quality, have 2 identical offsite backups and the check them both at least quarterly for hardware failure.

If you buy a Fujitsu scanner, the better quality ones come with software that does all this for you. Cost runs about $1,000.00 for the package. Audcomp in Ancaster is an authorized dealer.
