Safety Audit from USDOT - Buffalo , NY

Hi everybody,

I just got a letter from FMCS - US Department - BUFFALO, NY that let me know they are coming for a safety audit in the next 2 weeks.

We have a small company (only driver is the owner) and just started last year in November - this is our first audit!
Has anyone had an audit from USDOT?

What do they want? Looking for? What we should prepare etc.?

PLEASE - if anybody can give me some info it is going to help me a lot!
IT IS MY FIRST AUDIT and I don't know anything about this.

This is how it goes....

He will check driver file if it has all the info - driver abstract, drug test date and match with log book. If the driver started his/her log book before the drug test report came back - then they will look for any inspection or violation and match with log book and see if they were ever flagged or not. Then they will match all scale times, fuel times and some times Canada customs stamp matching with the log book.

If you have a file for maintinance and for equipment - the file should have all the repair bills and be certified by driver that those repairs were done. Looks to me that this is just a training audit but you need all the info I mentioned above.

This is more of a training as to how to do things right rather than an actual audit. He's probably meeting you at a hotel in the airport? I wouldn't worry about it and he should send you a list of documents that he will require to see as well.

What is a dispatch record? He asked me for this and I don't know what it is.
What happens if I don't have a bridge or fuel or other papers?

For the dispatch records he is looking for a list of trips that your driver has done and he will want all trip sheets and fuel reports.

Also the immediate supervisor of the drivers must be trained in Drug and alcohol resonable suspicion training. I know there is a class coming up at ITR in Milton this month. 905-693-0660. Even if you are at least booked for a course this should satisfy them.
